How to order custom embroidery online
Ordering embroidery online is mostly about sending the right information once. This is the checklist Battle Born Clothing uses to turn a quote request into a proof without back-and-forth.
1. Send the right artwork
| File | Works? | Notes |
|---|---|---|
| AI, EPS, PDF (vector) | Best | Clean edges, easy to digitize |
| SVG | Best | Vector |
| PNG at 300 dpi | Yes | Flat background preferred |
| JPG from a website | Sometimes | Low resolution slows digitizing |
| Photo of a shirt | Last resort | We can often rebuild it; we will tell you |
2. Pick the item and colors
Name the style if you know it, like a Port Authority K500 polo or a Richardson 112 hat. If not, tell us the use and budget and we will suggest two or three. Every blank we price is on the products page.
3. Size the order without try-ons
- Use the size people already wear in that brand if you can.
- Collect sizes with a simple sign-up sheet before you order.
- For mixed groups, a common split is heavy in M, L and XL. Order a few extras in the middle sizes.
- Hats and towels do not need sizes. Fitted caps like the Flexfit 6277 do.
- 2XL and up cost more on most garments ($1 to $7 by size on the K500).
4. Approve the proof
We send a digital proof before anything stitches. Check the spelling, logo size, placement and thread colors. The proof also shows the stitch count, which sets the price for designs over 6,000 stitches. Nothing goes on the machine until you approve it.
5. Set your arrival date
Standard turnaround is 28 days from proof approval. Add ground transit to your state. If you have a hard event date, tell us on the form. Rush is quoted per job.
| Region | States | Typical transit |
|---|---|---|
| West Coast | Nevada, California, Oregon | 1-2 days |
| Near West | Washington, Idaho, Utah, Arizona | 2-3 days |
| Mountain | Montana, Wyoming, Colorado, New Mexico | 3-4 days |
| Plains and Upper Midwest | Texas, Oklahoma, Kansas, Nebraska, North Dakota, South Dakota, Minnesota, Iowa, Missouri | 4-5 days |
| Midwest, South and East Coast | All other contiguous states | 5 days |
6. Pay and track
Your quote lists the all-in total and any one-time fees. Once the order ships, you get tracking.
What to put in your first message
- Logo file

Common mistakes that slow an order
- Sending a logo screenshot instead of the original file. Ask your designer or printer for the vector version.
- Leaving sizes to the end. Collect sizes before you request a quote so the order can go straight to blanks.
- Picking a color that is backordered. We check stock when we quote and suggest a close match if needed.
- Approving the proof without checking spelling. Read every word on it, out loud.
A sample first message
"24 Port Authority K500 polos, navy, left-chest logo (file attached). Sizes: 4 S, 8 M, 8 L, 4 XL. Need them in Denver by March 20." That one message has everything Battle Born Clothing needs to quote, digitize and set a schedule.
Under 12 pieces? That is fine. One to 11 pieces price at the 1-11 tier: $12.00 embroidery plus the blank.
Questions
How fast do quotes come back?
Usually the same business day.
Can I change sizes after the proof?
Ask before blanks are ordered. Once garments are in, changes may add cost.
Do you send a physical sample first?
We send a digital proof. A one-piece sample order is possible at the 1-11 tier.
